We work under Incoterms® 2020 - the internationally recognised set of trade rules published by the International Chamber of Commerce. Below are the three terms we offer, explained in plain English. If you are unsure which to choose, our logistics team will guide you.

EX WORKS - E-SQUARE FACILITY, NEW DELHI
Your freight forwarder collects the goods from our New Delhi warehouse. We make the goods available for collection. All costs and risk from collection onwards are yours, including Indian export clearance. Your forwarder will need to arrange Indian export clearance - most global freight forwarders with Indian operations can handle this on your behalf.
E-Square pays: Making goods available for collection at our facility
You pay: Everything from collection onwards - Indian export clearance, international freight, insurance, import duties, and destination delivery
Best for: Experienced importers with established Indian freight forwarder relationships who want full control over logistics and costs.
FOB
FREE ON BOARD - INDIAN PORT OF ORIGIN
We handle export clearance, all shipping documentation, and delivery to the Indian port of origin. Once the goods are loaded onto the vessel or aircraft, all costs and risk transfer to you. You arrange and pay for international freight, insurance, and import clearance. Available for both air freight and sea freight.

You pay: International freight, insurance, import duties, and destination clearance
Best for: Buyers with their own appointed freight forwarder.

If you have never imported from India before, we recommend starting with DAP - we handle the entire logistics chain from our facility to your doorstep, and you only deal with import customs clearance and duties in your country. Note: Standard export packaging suitable for international transit is included in all our quotations. Important: If your country or your customs authority requires a document not listed above, please contact us before placing your order. Any document requested through your country's embassy - such as legalisation, notarisation, or consular attestation - will require additional processing time and will attract fees as prescribed by the respective embassy or consulate. All applicable charges - including statutory document fees, third-party inspection costs, and embassy legalisation fees - are payable by the buyer and will be itemised transparently on your proforma invoice. We will ship your order together with the complete set of required documents, once you have reviewed and approved them.

Export-grade packaging as standard

All international shipments are packed to withstand long-haul air and sea freight. We minimise polystyrene use and prioritise recyclable packaging materials.

Custom-image
Primary packaging: Each product is individually packed. Padlocks are individually boxed with key. Tags and other LOTO products are sealed in polybags
Outer cartons: 5-ply corrugated export-grade cartons. All cartons are sealed with reinforced tape. Box weight and dimensions are marked.
Marking: Each carton is clearly marked with your company name, PO number, destination address, country of origin (India), HS code, and carton number (e.g. 1 of 6). All markings in English.
Fragile items: Lockout stations, shadow boards, and large enclosures are wrapped with multi-layer bubble wrap and corner-protected with cardboard inserts before boxing.
Custom / private-label orders: Packed in your branded outer packaging with barcode, SKU number, QR code, month of dispatch, country of origin, and any other markings you specify. Please share complete labelling requirements at the time of order.
Large volume / pallet shipments: Cartons are stacked on heat-treated (ISPM 15 compliant) wooden pallets and stretch-wrapped for FCL and LCL sea freight. ISPM 15 mark included on all pallets for compliance with international phytosanitary requirements. Plastic pallets (non-timber) are available on request to comply with strict Australian and New Zealand biosecurity requirements.

Confirm that the provided HS codes are correct, then your broker will use these to calculate landed cost accurately. Surprise duty bills are the most common first-time importer complaint - eliminate this entirely with a 10-minute conversation with your broker in advance.

VAT & Import Duties
Import duty and VAT / GST may be charged at your border by your country's customs and tax authorities. These are separate charges and are the buyer's responsibility under all Incoterms. Consult your customs broker or accountant before your first order.
ISF
US Importer Security Filing
For sea freight to the USA, the ISF (10+2 filing) must be submitted to US Customs 24 hours before loading. Under FOB, DAP, and EXW terms, this is the buyer's responsibility. We provide all required data elements.
EORI
EORI / Importer Registration
Many countries require importers to hold a registered importer number - such as an EORI number in the UK and EU - before customs will release a shipment. Ensure your registration is in place before your first order.

Q. Can I order just one product? Is there really no minimum order quantity?

Yes - absolutely. There is no MOQ on most standard, non-customised E-Square products. We have processed single-unit orders shipped to the USA, UK, Australia, and UAE.

Q. How do I get a freight cost estimate before placing my order?

Simply request a quote through our website or WhatsApp (+91 78350 91517). Tell us: your country and city, your preferred Incoterm, and the approximate quantity of products you need. We will include the freight estimate in your proforma invoice. For large or repeat orders, we can also get you competitive sea freight quotes through our freight forwarding partners.

Q. Do you ship dangerous goods or hazardous materials?

Our Lockout Tagout products are not classified as dangerous goods under IATA or IMDG regulations. They can be shipped by air or sea without hazardous goods restrictions.

Q. What happens if my shipment is damaged or lost in transit?

Under FOB Incoterms, insurance is the buyer's responsibility from the point of loading. We recommend all buyers take out cargo insurance regardless of Incoterm. In either case, if goods arrive visibly damaged, photograph the cartons before opening, note the damage with the carrier at delivery, and contact us immediately. We will assist in resolving the claim.

Q. Can you deliver to a remote mining or offshore location?

Yes. We regularly supply to remote mining sites in Western Australia, offshore platforms in the North Sea, and oil field locations in Saudi Arabia and Nigeria. For remote or offshore delivery, we ship to the nearest DHL/FedEx service point and your logistics team or freight forwarder handles the final leg. For very remote locations, we can arrange specialist freight on your behalf - contact us with your site details.

Q. Can I get a sample order before committing to a larger purchase?

Yes. For qualified distributor prospects evaluating E-Square as a long-term supply partner, we offer a complimentary sample kit covering a representative range of our LOTO devices. For end-user buyers requiring product evaluation before a bulk order, samples can be supplied at standard catalogue cost plus shipping. In both cases, please contact us with your company details, intended application, and estimated annual usage - we'll respond with a tailored sample arrangement within 4 business hours.

Q. Do you provide a pro forma invoice for import customs purposes?

Yes. Every order is preceded by a pro forma invoice that includes all information required for import customs - HS codes, unit prices, total value, country of origin, seller and buyer details, and Incoterm. We also provide a formal commercial invoice and all supporting documents with every shipment. If your customs authority requires a specific invoice format or additional fields, let us know and we will accommodate if possible.

Q. Can you supply with your own brand removed for private-label / OEM orders?

Yes. We offer full private-label manufacturing - your logo, your brand colours, your packaging - on most of our product range with low minimum order requirement for standard products.
